Follow the below instructions to process safety recommendation letters from  the carriers.

AE e-mails Safety Rec letter to Account Associate or attaches to Q-RC Code and assigns to Associate AE.  Associate will:

  • Complete a Safety Rec letter found in TAM  (Retype info into letter,copy and paste, or attach carrier letter).
  • E-mail or snail mail recs to insured.
  • Attach e-mail or document to a Q-RC activity.  Use brief description- CNA Prop Rec Ltr sent or  25 Elm St Rec Ltr sent (if numerous locations on policy).
  • Diary for three weeks.
  • Close out original Q-RC activity.

At follow up date:

  •  re-send e-mail to client and cc AE.
  • Notate activity “2nd Req & date”.
  • Set follow up date for another two weeks.

At second follow up date:

  • resend e-mail to client and cc AE.
  • Notate activity “3rd Req & date”.
  • Set follow up date for another three weeks.

At third follow up date:

  • assign Who Code to AE & send e-mail to AE advising that final request has been sent.

If insured responds at any point:

  • Response is sent to carrier with cc to AE.
  • Response is attached to Q-RC Activity.
  • Q-RC activity is closed out.
