The following is a list of potential errors that can pop up from Epic Exception Notifier (EEN):

At least 1 AE must be entered on the Account Servicing tab

[expand title=”ACT0002 — Producer missing from Account Team”]

 

A producer must be entered on the servicing tab of the account screen. If there is no producer involved, enter “SterlingRisk”. There are a few exceptions where this is not necessary:

  • Agency is VanWagner, MusicPro, ES&P or RBI
  • There is a broker entered on the Account Billing tab

[expand title=”ACT0003 — Client Name may have been deleted”]

 

Client names are occasionally accidentally deleted.  If a client’s name appears in Epic with less than 3 characters, this exception will appear.

[expand title=”POL0001 — Missing AE on Policy”]

 

At least 1 AE must be entered on the Policy Servicing tab

[expand title=”POL0002 — Billing received on prospective policy”]

 

Set a policy from prospective to contracted once the policy is bound.  If a prospective policy is transacted against then either:

  • The policy needs to be coded as contracted
  • Or the wrong policy was transacted against

[expand title=”POL0003 — Producer on service team missing from Pr/Br tab”]

 

If a producer is entered on the service team of a policy, they should also appear on the Pr/Br Commission tab.  If it is a house account, “SterlingRisk” should be entered in both places.

[expand title=”POL0004 — Agency commission % missing on line”]

 

Always include a commission % on the line tab of each policy.  It is useful for making sure that we are collecting the correct amount of money.

For benefits, if there is a complex commission schedule, estimate the total commission percent for the term.

[expand title=”POL0005 — Producer comm. does not match account’s special producer comm. plan”]

 

If the Categories/History tab on the account specifies that this account has a special producer commission plan, make sure that you choose the cooresponding producer commission default on the pr/br commission tab for each policy.

[expand title=”POL0006 — Producer on account service team but missing from policy”]

 

If a producer appears on the Account Service tab, they should also appear on the Policy Service tab for each policy.

[expand title=”POL0007 — Producer commission plan missing from policy”]

 

A producer has been entered on the Pr/Br tab but without a commission plan or any commission.  Epic will often remove the commission when a policy is renewed but warn you first.

[expand title=”POL0008 — Data not consistent across all lines”]

 

For multi-line policies, you must click “apply to all lines” after entering various data on the line level.  Otherwise, the policy may appear on expiration lists and reports multiple times.

[expand title=”POL0009 — Service Team or Commissionable Producers not consistent across all lines”]

 

For multi-line policies, you must click “apply to all lines” after making changes to the service team or the Pr/Br Commissions tab. If an AE is no set on all lines it may not appear correctly on expiration lists and reports.  If a producer does not get entered as receiving commission for all lines, they may no appear on the transaction when the policy is billed.

[expand title=”POL0010 — Policy Department does not match with assigned AE”]

 

If a policy is created with the wrong structure (including department), the only way to correct it is to delete the policy and start over.

[expand title=”POL0011 — Agency 104 (NJ) should only be used for Steve Jasinski accounts”]

If Steve Jasinski is not a producer on the account, there is no need for the policy/account to be coded to NJ.  If it is a house account, it can be coded to Agency 101.  If Agency 104 was already used on the account, you will not be able to delete it but a second agency can be added at the account level.

[expand title=”POL0013 — Do not include comm % when billing a child of a master policy”]

When programs bills a policy that is part of a master program, it should not be billed with commission to prevent the system from double counting the commission.  Make sure to leave the commission % field blank or enter 0%.  If the policy is not part of a master policy, make sure to use the actual PPE and not an internal dummy company.

When creating any type of FEE policy line, the PPE should be an internal dummy company such as SterlingRisk, ES&P, VanWagner, etc.

[expand title=”CTC0001 — Primary Contact(s) not set”]

 

For commercial clients, it is important to set a primary business contact since this stores useful information such as SIC and Nature of Business.  For all clients, it is also important to have a primary contact (which can be a business or an individual) for automating emails and form letters.  Use “Actions” on the contact screen to set the primary contacts.

[expand title=”CTC0002 — Nature of Business missing from Primary Business Contact”]

 

For commercial clients, it is important to set the Nature of Business since this will pull on each of the Commercial Apps (Acord 125) created.  Our carriers need to know the nature of the business in order to give an accurate quote the first time.  This field can be found on the primary business contact.  It is optional for all other business contacts.

[expand title=”CTC0003 — SIC code missing from Primary Business Contact”]

For commercial clients, it is important to set the SIC code since it is used to be able to report on our client book by industry.  This field can be found on the primary business contact.  It is optional for all other business contacts.
