PATRA is utilized to assist us with the policy checking. Their review is “first look” and by no means final. All policies must have a final review by the Account Executive/Associate Account Executive depending on the complexity of the policy. The more accurate the data and the system, the more accurate the outcome.

  1. Policies are received and they are attached to the BILC activity in EPIC.
    **Policies should be attached as a PDF in order to be easily bookmarked**
  2. The Policy Checked Task is  assigned to PATRA10  (policy checking).
  3. Patra will check policies against up to three of the following documents, the task must specify which are to be used (PATRA will come back with their questions if they do not understand):
    • Applications
    • Proposal
    • Carrier Quote
    • Carrier Binder (attached in EPIC as “BINDER___[POLICY]___  ____[CARRIER]___  ___[YEAR]___”)
    • Prior Policy
    • Schedule of Values (SOV)
    • Forms (will always be checked)
    • Endorsements (As per the AE’s request)

If the task does not specify the documents to check by default, PATRA will check:

  • Applications
  • Binder
  • Prior Policy
  1. Patra completes this task, they attach a spreadsheet into the BILC code in EPIC, notify the AE by e-mail that the policy has been checked.
  2. This spreadsheet is then reviewed by the AE/Associate along with the policy.  This is important as there are certain things that PATRA may not catch (i.e. sublimits in an endorsement).
  3. Corrections/Changes are requested, EPIC is updated accordingly.
  4. Policy is then delivered to client (corrections/changes outlined on policy cover letter).

  • Specific pertinent exclusions: Lead & Mold
  • GL Limits
  • Add’l Ind’d End’ts
  • Waiver of Subrogation
  • Named Insureds
  • Location Schedule
  • Minimum Earned Premium Endorsements
  • All other coverage first pages (EDP / IM, Boiler, Crime, Auto)
