AUTO CHANGE REQUEST PROCEDURE
INITIATING REQUEST
To initiate process to add a vehicle
- Complete the attached Request to Add New Vehicle Form
OR
- Use Form as a guide to provide all necessary information.
- Locate client in TAM- in the Customer Screen– by entering the code or searching for name
- Click on Policies-(found at top of page) in task bar buttons and the Policy List will appear
- Highlight the correct Auto policy line
- Click on task bar button, Options– found at bottom of page and a menu will appear
- Click on Change Request– found in the menu- either of two things will happen:
a) If no Change Requests were issue in the past, system will prompt “Is this a new change request”, your response will be yes
b) If there was a recent change request issued, the last one will automatically appear; DO NOT WRITE OVER OLD REQUEST.
- Click on FILE, (top left hand corner) drop down menu will appear, click on ADD
- A pop up window will appear- “Is this a new change request” and prompting you to choose yes or no; choose YES
- A new Commercial Policy Change Request will appear
- Manually Change the effective date, if necessary, since system automatically generates the date the change is done.
- Under “Delete Date” remove the date entirely, this should be left blank
ADDING A VEHICLE: REQUEST TO ADD VEHICLE FORM
- While still on the Commercial Policy Change Request Screen, click on the tab found at the bottom, VEH.
- Click on the drop down arrow found at the top right hand corner of screen, a list of vehicles will appear.
- Scroll down this list of vehicles to the very last entry- ensure that the added vehicle is sequentially in order (i.e. if the last vehicle is Rsk#15 and Co#15, then the one being added should be entered as Rsk#16 and Co#16
- Click ADD– found immediately below a blue label marked: Auto-Vehicle Description/ Limits, the screen will immediately clear all boxes for information to be added under“Description”
- Fill in all relevant boxes as below (Refer to “Request to Add New Vehicle Form” as a guideline
a) Risk# (same as previously mentioned- in sequential order)
b) Co# (same as previously mentioned- in sequential order)
c) Year, Make, Model, Body Type, Vin#, etc
d) Garaging- Note that the ID Cards will automatically generate the card for that state. If the vehicle is garaged in one state but registered in another, put registration state in “State” and garaging state in “City” (i.e. if vehicle is garaged in Patterson NJ but registered in NY, type Patterson NJ in “city” and NY in “State”
- In the same screen, Click on “Coverage Limits” at top right hand corner immediately below the vehicle list drop down arrow
e) Select all coverages applicable and/or required (liability limits, towing, PIP, comp, collision etc)
f) Note, if Comp & Collision is clicked, remember to add the deductibles applicable under, “Deductibles” found in COMP/OTC & Collision boxes (the two bottom boxes to the right)
NOTE: When endorsement comes in, additional information is added to TAM: Class code
ADDING A DRIVER:
- While still on the Commercial Policy Change Request Screen, click on the tab found at bottom, DRIVERS
- Click ADD found immediately below the driver drop down list and the screen will immediately clear all boxes for information to be added
a) Enter Risk# (same # used for the vehicle)
ADDING AN ADDITIONAL INTEREST:
- 19. While still on the Commercial Policy Change Request Screen, click on the tab found at bottom, ADD’L INT
- Click ADD found immediately below the Additional Interests drop down list and the screen will immediately clear all boxes for information to be added
- BSNS Auto/Truckers/Garage – should automatically be checked
- Enter Risk# (same# used for the vehicle)
- Enter Lien#- “001” (if insured has more than one lien for this vehicle, additional liens can be added as #’s 002, 003
- Enter the interests complete name and address
- Select under “Interest” in the middle of the screen, all that apply
- Select under “Interest In Item” enter the same CO# (found on the drop down menu in the Vehicle tab listing ) and enter that # in the VEH# box
- Enter under Item Description- found at bottom of page, vehicle details (i.e. 2012 BMW #2589)
- To add new liens, click at the very top of the screen, on the grey bar, “ADD”, ensure you have the right vehicle in the drop down listing and repeat items #20-23 in the foregoing
- Any additional information required, may be added under the “Add’lInterests / Remks” tab at the bottom of the screen
DELETING A VEHICLE:
- While still on the Commercial Policy Change Request Screen, click on the tab found at the bottom, VEH.
- Click on the drop down arrow found at the top right hand corner of screen, a list of vehicles will appear.
- Drill down this list and select the vehicle to be deleted
- Click DELETE – found immediately below a blue label marked: Auto-Vehicle Description/ Limits,
- The deleted vehicle info will automatically pre-fill
DELETING AN ADDITIONAL INTEREST:
- 1. While still on the Commercial Policy Change Request Screen, click on the tab found at bottom, ADD’L INT
- Drill down this list and select the ADD’L INT to be deleted
- Click DELETE found immediately below the Additional Interests drop down list
- The deleted Interest info will automatically pre-fill
DELETING A DRIVER:
- While still on the Commercial Policy Change Request Screen, click on the tab found at bottom, DRIVERS
- Drill down this list and select the driver to be deleted
- Click the button, DELETE found immediately below the driver drop down list
- The deleted Driver info will automatically pre-fill
REPLACEMENT VEHICLE/DRIVER/ADDITIONAL INTERESTS:
- While still on the Commercial Policy Change Request Screen, click on the tab found at the bottom, VEH or DRIVERS or ADD’L INT
- Two changes can be done on the same request, if the effective date and policy# is the same, 1) to ADD new and 2) to DELETE old
- DO NOT check off the “Change” button
- Complete one change at a time, by clicking on the “ADD” or “DELETE” tab, on the grey bar, at the very top of the screen
- In order to review all the changes you made, you can navigate between the “<<Previous<<” or “>>Next>>” tabs on the grey bar (on the top of the page).
PRINTING AND/OR SAVING CHANGE REQUEST
- Click on FILE, (top left hand corner of the screen) a drop down menu will appear
- Click PRINT, found on this menu
- You will be prompted to save, you will indicate yes
- A pop up screen will automatically appear- PRINT/COMMUNICATION, choose the following:
a) The right printer by clicking on SETUP– to the right of the window, and choose the right printer from the drop down menu
b) Remove the PRODUCER CODE
c) Uncheck ACTIVITY RECORD
d) Select PRINT to print or PREVIEW to save.
e) Under UPDATE, the final category line on window, click IMMEDIATELY, in lieu of On Effective Date of Change, as shown (this will automatically update the current accord application with the changes that were just made)
f) Click OK
g) A pop up window will then appear- POLICY HISTORY INFORMATION – ensure the date is the correct date of the change, to the upper right of that window and enter in the description box the change that was made (i.e. Adding 2012 BMW Vin#2589 eff 8/29/12)
h) Click OK to wanting to move change to history
SOME IMPORTANT NOTES:
- Information added to the remarks screen will NOT automatically transfer to the TAM application, it will have to be manually added once the app is updated
- On the Vehicle Screen, Rental Reimbursement (REIM REIM) and Full Glass (FG) added to the change request will not appear on the Acord app, this will need to be manually inputted.
- Ensure the future application is also updated, if there was one already generated, since the change request only updated the current app and not the future app
- ALWAYS remember to spot check the application for the changes that were made
